The Role
As a Finance and Operations Assistant, you will work in the Finance team, and you will play a key role in collaborating with multiple teams (Marketing, Sales, HR, and tech teams), dealing with people and processes, and ensuring that the day-to-day finance and operations run smoothly. Your main responsibilities include providing Operational and Finance analysis support to all the teams of Jscrambler in terms of Travel arrangements, cost and expense management, and supplier verification according to existing policies. We work with Netsuite ERP, which will require your support to maintain the accuracy of purchases and expense reimbursements.
What will your day-to-day be like?
Finance
Manage incoming supplier invoices, expense reports, or similar supplier documents through
email, courier, or other platforms, with responsibility for efficiently handling communications,
and maintaining an organized filing system in digital and/or paper format;Liaise with the internal team to ensure that invoice approval procedures are followed and
resolve queries on invoices on hold for payment;Maintain supplier Tax Residency Certificate control and contact contact suppliers when documentation needs to be updated;
Review and enter into the ERP supplier invoices and expense reports to check compliance with
Portuguese fiscal requirements, internal policies, and defined budgetAssist with payment preparations
the G&A team in the ad hoc projects
Operations
Support internal teams with company purchases ( manage requests through internal workflow
tool) and manage company business travel arrangements (arranging for travel and
accommodation booking through a Travel Agency partner, and other logistics when needed)
and;Enter relevant supplier and purchase details into the database efficiently and accurately;
Maintain operation policies and procedures and ensure they are followed appropriately, and
create new or adapt existing ones according to the business needs;Deal with and resolve queries promptly and politely, either by liaising with the internal teams or
by reaching out to suppliers and/or partners.
We believe you’ll succeed in this role if you have:
Proven ability to focus on detail and ensure accuracy in output
Bachelor’s degree in finance, management, or related
Up to 2 years of proven experience
Professional and personable manner with excellent communication skills. Must be able to
communicate with all levels of management and interact with sales, engineering, HR, and Legal
personnelExcellent organizational skills, with the ability to prioritize workflow while managing a variety of
tasksCompetent Excel and analysis skills
Good team working skills
Able to work independently and ask for help/advice where needed
Good English level (at least B2)
